    Finding Your Records

    Working with Lists

    Using NetSuite, you will certainly work with lists of records. NetSuite stores much of your information in a list format allowing you to easily view, edit, and access the information you need quickly and efficiently.

    Leads, prospects, customers, contacts, tasks, phone calls, events — even the items you sell are all stored in list format.

    Although we will demonstrate how to access some of the key lists in NetSuite, the focus will be on the Contacts list. All of the concepts you learn and that are demonstrated on the contacts list are also applicable to all other lists in NetSuite.

    You will not only learn how to access these lists, but you will also learn how to filter your list view, how to export a list to a CSV file or MS-Excel, and how to be more productive while working with lists using the direct list editing feature in your account.

    Lead-to-Customer Life-cycle

    As a Sales Representative, it is important that you understand the Lead to Customer life-cycle; in other words, how you will work with leads that are assigned to you to convert them into prospects, and eventually customers.

    Every sales organization has a unique sales process for lead management, opportunity management, and customer relationship management.

    NetSuite provides the flexibility to configure your account to meet these unique business processes and enable you to track each stage independently throughout the Customer Life-cycle. As the lead-to-prospect conversion and prospect-to-customer conversion occurs, your sales forecast reports are maintained so you can consistently measure your sales targets.

    In this training module, we will:
    • Discuss how leads are generated and entered into your NetSuite account;
    • Discuss how leads can automatically be assigned to Sales Representatives using Sales Rules and Territories or manually assigned by your Sales Manager;
    • Introduce the Lead to Customer Life-cycle including the Lead Stage, the Prospect Stage, and the Customer Stage while maintaining your Sales Forecast reports;
    • Discuss the various Record Statuses used to track the Lead-to-Prospect and Prospect-to-Customer conversions; and

    Working with Leads

    As a Sales Representative, you are responsible for working with the leads that have been assigned to you or you have created in your account yourself. It is your role to initially contact these leads, develop relationships within, and to begin qualifying these leads as potential prospects who have expressed interest in your products and services.

    The Lead Management workflow involves many phone calls, and activities that cultivates a relationship between you and your leads that you are working. NetSuite supports the Lead Management process by allowing you to capture all contacts and activities directly on the Lead record. These contacts and activities will remain accessible not only during the Lead Management process but through the entire Lead to Customer life-cycle.

    Once you identify an opportunity with a lead, you can either create an Opportunity that is associated directly with the Lead and in turn, coverts the Lead to a Prospect or if you do not use Opportunity Management in NetSuite, you can manually convert the Lead to a Prospect yourself.

    In this training module, we will:
    • Demonstrate how to Create a Saved Search to display your Active Leads on your Dashboard;
    • Demonstrate how you can quickly Add a New Lead using the Quick Add Portlet;
    • Introduce the Leads Management Workflow while working with your assigned Leads;
    • Demonstrate how you can Edit an Existing Lead or Enter a New Lead into your account;
    • Discuss the Lead Qualification Process to filter your Leads that show interest and those that do not by setting the Lead record status; and

    Working with Contacts

    As a Sales Representative, you are responsible for working with your assigned Leads in efforts to convert them to Prospects and eventually, customers — in other words, the Lead-to-Customer life-cycle. As you work throughout the Lead-to-Customer life-cycle, you will continue to develop relationships and will want to create new contacts within your leads, prospects, and customers.

    NetSuite allows you to create a new contact at any stage in the Lead-to-Customer life-cycle. Capturing contact information is critical to the success of your sales organization as this will allow you to track and manage these contacts as you work through the Lead-to-Customer life-cycle and beyond.

    For example, once you identify an opportunity with a prospect, you might begin to work with a number of contacts that you have identified as the primary decision makers of the opportunity. Furthermore, these contacts can be included beyond the Lead-to-Customer life-cycle on any marketing campaigns or promotions in the future.

    • Demonstrate how to Associate a Contact with a Lead, Prospect, or Customer;
    • Discuss the Contact Record; and

    Managing Your Activities

    As a Sales Representative working with Leads, Prospects, and Customers throughout the Lead-to-Customer life-cycle, you will create many activities in your account to support your sales efforts. An activity in NetSuite can include tasks, phone calls, and events.

    An example of a task activity type would be to 'Prepare a Product Demonstration'. Scheduling a 'Follow-up Call' is an example of a phone call activity type, and a 'Meeting for Lunch with a Customer' is an example of an event activity type.

    Activities can be created and will remain accessible throughout the entire Lead-to-Customer life-cycle including the Lead, Prospect, and Customer stage.

    You can manage all of your Activities from the Activities tab in NetSuite or from the Activities sub-tab on the Lead, Prospect, and Customer record.

    Managing Your Opportunities

    As a Sales Representative, you are responsible for working with your qualified leads to identify any opportunities that might exist to conduct business with your organization. Once you have identified that an opportunity exists, you can create a new opportunity record in NetSuite which converts the lead into a prospect. In other words the lead-to-prospect conversion occurs.

    The Opportunity Management workflow involves discussions about the opportunity, identifying key decision makers, creating a proposal, and negotiates any details about the deal, until the prospect is a purchasing customer and you can close the sale.

    During the Opportunity Management workflow you will create many phone calls, and activities that cultivate a relationship between you and your prospects that you are working. NetSuite supports the Lead Management process by allowing you to capture all contacts and activities directly at the prospect stage.     As a Sales Representative, you are responsible for working with your prospects that are ready to make a purchase from you organization — taking a quote that you have provided to your prospect and creating a sales order, cash sale, or invoice to close the sale.

    When you create a sales order, cash sale, or invoice based on a quote, you are essentially closing the sale and completing the lead-to-customer life-cycle. The prospect is converted to a customer.
