There are a number of projects offered in each of these basic areas. The goal is to help nonprofit and social enterprise organizations who have received NetSuite software donations increase their own capacity and utilization of the software in a way that will help organizations drive towards their mission. Our employees sign up for projects based on their skillset and interest. While the description of projects is intended to explain potential activities, project teams will ultimately decide on the exact set of activities based on skillset and available time.


Getting Started

Coaching for beginner users

This is for organizations who have completed the NetSuite essentials course and have less than one year of experience using NetSuite. The Suite Pro Bono team will review how you are using NetSuite today and provide you with tips on how to use the software more effectively. Please choose ONE of the following focus areas:

  • Back Office Functions – e.g. accounting, program expenses and reporting
  • Contact management (CRM) and e-mail marketing
  • E-commerce – online sales and online donations

  1. These projects are more successful when the nonprofit creates a specific list of concerns or topics prior to the project beginning.
  2. The outputs of these projects are generally documented list(s) of recommendations, and not necessarily configuration/customization work.
  3. We recommend that organizations applying for these projects be at least partly implemented
  4. No specialized resources needed, but we recommend the owner of the NetSuite system for your organization participate during the project.

Coaching for experienced users

This is for organizations who have completed the NetSuite essentials course and have more than one year of experience using NetSuite. The Suite Pro Bono team will review how you are using NetSuite today and provide you with tips on how to use the software more effectively. Please choose ONE of the following focus areas:

Basic Data Migration

The Suite Pro Bono team will help you get important data into NetSuite from a non-NetSuite source. For this project, Suite Pro Bono team will help the organization learn the process to identify a data source, to put the data into the correct format, and to upload the data into the system. Once uploaded, the Suite Pro Bono will teach you how to reconcile the result against your original source. Data could include:

  • Constituent information transactions
  • Logged activities
  • Others (can be discussed)

  1. The Suite Pro Bono team provide insight and advice, and do not necessarily import the information for the organization.
  2. This project works best when the organization has clean data sources.
  3. In your application request for this project, please let us know what systems you are migrating from.
  4. We recommending having the primary NetSuite user from your organization participate on this project.

Configuration & Customization

Configuration - Dashboard Setup

Do you need help managing operational or program data using NetSuite? The Suite Pro Bono team can help you track key data by creating dashboards. They help determine where the data underlying the indicator is currently collected and determine if they data can be displayed in NetSuite dashboards and distribute the information to relevant stakeholders.

  1. The point of contact should have administrator privileges.

Configuration - Saved Search/Custom Lists

Want to maintain metrics/lists of things important to your operations or social impact? The Suite Pro Bono team will help configure a saved search to display data (both system data and custom records) important to your organization’s goals.

  1. Some examples of saved searches; A list of donors who gave in the last year.
  2. Resources needed are those who would understand the data being modeled - likely the person who is reporting out manually on this information now.

Configuration - Custom Reports

Do you need to create a special standard report or financial report in NetSuite? The Suite Pro Bono team will help you define the information that needs to be displayed, configure the report and make it available to relevant stakeholders.

  1. This project is most successful when the organization can provide a mock up of the report that is requested.
  2. Point of contact for the project should be someone who understands the data being modeled - likely the person who is reporting out manually on this information now.
  3. This project requires a moderate amount of effort by the organization.

Customization and Scripting: Simplify your workflow using NetSuite

Do you want NetSuite to send automatic emails to the Executive Director when receiving donations of a certain dollar amount? Or do you want an email generated to the supervisor when hourly employees exceed a certain number of overtime hours per month? The Suite Pro Bono team can help change the behavior of NetSuite including automation of approval routings, sending automatic emails and much more. We will work with you by understanding your business process that needs modification, define a solution and test the prescribed solution to achieve its desired outcome. (Note: A solution can result in SuiteFlow or SuiteScript being created – if you have already identified that you want to use one of these tools, please note that in your application)

  1. Prior to the project beginning, we recommend putting some thought into the workflow, think through the ins and outs, how it will add value, and how it will scale in the future.
  2. Point of contact should have NetSuite administrator privileges.
  3. Please note your organization will need to own the maintenance of any scripting going forward.

Financials

Develop an Organizational or Program Budget

The Suite Pro Bono team will help you develop one organizational or program budget, and help identify the priorities to be represented. You will learn how to measure the budget vs. actuals throughout the budget period. Afterwards, you will learn how to load your new budget into NetSuite.

  1. An individual from your organization’s accounting or finance team is needed for this project.
  2. We recommend that the person from your organization working on this project have admin privileges.
  3. This project requires a moderate amount of time and effort from the person from your organization who is working on this project.

Assistance in Implementing Financial Controls

The Suite Pro Bono team will review a few financial processes and help you develop some financial controls to support them. Additionally, they will advise you on configuring NetSuite to help manage and monitor those controls.

  1. An individual from your organization’s accounting or finance team is needed for this project.
  2. We recommend that the person from your organization working on this project have admin privileges.
  3. This project requires a moderate amount of time and effort from the person from your organization who is working on this project.

CRM/ Marketing/Development

Email Marketing Project (no design)

Pre-requisite, you must use NetSuite CRM for email campaigns to apply for this project. Suite Pro Bono will help you develop a strategy to engage with your constituents by reviewing your communications process, goals, audience and content to look for improvements and ways to adapt them to the NetSuite system. Volunteers will help you set up a marketing campaign in the NetSuite system. The organization will need to provide the design, graphics and HTML for the campaign (email blast, etc). The volunteer will also review your use of the marketing functions in NetSuite’s CRM and provide you with tips on how to use the software to meet your marketing goals.

  1. This project will likely require a fair amount of time dedicated by the organization point of contact to complete successfully.

Marketing Campaign Check-up

As a pre-requisite, you must be using NetSuite CRM for your campaigns to apply for this project. Do you need help analyzing the performance of your NetSuite based marketing campaigns? A NetSuite volunteer will work with you to analyze existing campaigns, by pulling searches and reports of your outbound communications and suggesting ways to segment your constituents so that you can better target your messages.

  1. We suggest having someone from your organization’s marketing team available to participate on this project.
  2. The point of contact will need to have an understanding of the report contents, and access to NetSuite admin privileges.

Design of an E-Newsletter Template

The Suite Pro Bono team will help you design an eNewsletter using a HTML template and send out their first blast. They will help you prepare the campaign records and tracking for the eNewsletter. You will send out the first newsletter together with the Suite Pro Bono team at the end of the project.

  1. Before the project begins, your organization should decide on the goals of your email newsletter and decide which fields to collect.
  2. Organizations should not participate in this project until they are ready to start sending emails to subscribers.

Email Newsletter Sign Up

Do you need to collect constituent emails for your newsletter or other purposes on your NetSuite website? The Suite Pro Bono team will help you set up an email sign up on your NetSuite website.

  1. Before the project begins, someone from the organization should decide what fields to collect and subscription options.
  2. Organizations should not participate in this project until you are ready start sending emails to subscribers.

Manage Your Contacts and Interactions using NetSuite

Do you need to track your communications with constituents? The Suite Pro Bono team will coach you on how to record interactions with constituents, manage duplicates and report on activity.

  1. The point of contact for this project should be the end user who will do this process (or teach others in your organization to do it).

Outreach Planning and Constituent Segmentation

Do you need to target a specific group of constituents for communications or solicitations? For example, you might want to identify all constituents that care about wolves to sign a petition. You might want to target potential donors in a specific geography and a specific income bracket for solicitation. The Suite Pro Bono team will help you identify your target audience, identify potential prospects and help you execute an initial plan for reaching out to those prospects.
